The Federal Records Centers have introduced a new service called Digital Delivery, revolutionizing the way government-held records are accessed and shared. This service provides secure, electronic access to records, replacing traditional physical paper delivery methods.
How it Works
To start using Digital Delivery, contact your FRC Director or Account Representative. Authorized federal agencies can request records through a secure online portal. The requested records are scanned or digitally converted if not already digital, and delivered electronically to the requester in PDF format, which is e-mailed to the requestor.
Digital Delivery significantly reduces turnaround times, with records delivered hours or even minutes instead of days or weeks with paper delivery. It also allows records to be shared securely among multiple authorized users or agencies without the need to produce and mail physical copies, enhancing collaboration and access.
Cost and Benefits
Digital Delivery typically reduces or eliminates costs associated with shipping, handling, and physical storage retrieval. Agencies pay standardized fees based on usage and volume, which can be more cost-effective compared to paper record management. This service improves efficiency, reduces costs, accelerates access to records, and enhances security and stewardship of federal records by leveraging digital technology and minimizing physical handling.
Quality Assurance
The FRCs perform a 100% quality control check on all Digital Delivery transmissions and conduct a quality control review of all transmissions, rescaning and resending any illegible documents at no additional cost. Your original records are securely stored at the FRC with Digital Delivery.
Additional Information
Digital Delivery requests must include an index/box list and a specific identification of the desired document. This service is included in the monthly box storage cost, with no additional fee for the service (except for emergency requests, which incur a rush service charge of $4.50/request). Non-ARCIS portal requests will incur a special handling charge of $3.75/request.
